Reporting to the Chief Executive Officer, the incumbent will be responsible for providing administrative support to the various directors in day-to-day operations, as well as during special mandates.


RESPONSABILITIES

Administrative support to directors

  • Write, correct and update files or administrative documents;
  • Write various reports and minutes;
  • Participate in the realization of special mandates;
  • Plan meetings and prepare rooms/workspaces;
  • Make or modify reservations for travel, airline tickets, vehicles and hotels for members of the management team;
  • Photocopy, file and archive documents and invoices;
  • Make payments on invoices;
  • Complete customer forms;
  • Perform data entry;
  • Manage inventory and purchases of office supplies;
  • Participate in and support the activities of the Health, Safety and Environmental Management System.

Support to the President and Chief Executive Officer

  • Manage the President’s agenda and mail according to established priorities.

Support to the Ocean Group reception

  • Replace the Ocean Group receptionist when she is on vacation.


REQUIREMENTS

  • Professional diploma in secretarial or office work;
  • Any combination of education and experience deemed equivalent will be considered;
  • At least three (3) years experience in a similar role;
  • Autonomy, discretion and thoroughness;
  • Ability to work in a team and diplomacy;
  • Excellent communication and writing skills;
  • Sense of priorities and organization;
  • Bilingualism in French and English, oral and written;
  • Mastery of the Microsoft Office Suite;
  • Knowledge of SAP (asset).
